This Return & Refund Policy explains how Tai'an Rainchen Clothing Manufacturing Co., Ltd. ("Rainchen", "we", "us") handles returns, replacements, and refunds for our wholesale and OEM/ODM apparel orders. Because our products are custom-manufactured to each customer's specifications, this policy is designed for B2B production and differs from standard retail returns.
Note: As all goods are made to order, we strongly recommend approving a pre-production sample before bulk production. Approved samples are the binding quality reference for your order.
1. Samples
Pre-production and stock samples are made or selected to your requirements. Sample fees and shipping costs are generally non-refundable, as samples are produced specifically for you.
If a sample arrives defective or materially different from the agreed specification, contact us within 7 days of receipt with photos. We will remake or correct the sample at our cost.
2. Bulk Orders — Defective or Non-Conforming Goods
We inspect every order through our QC team before shipment. If your bulk order contains manufacturing defects or does not conform to the approved sample and signed specification, we will make it right:
Inspection window: Please inspect goods and notify us within 15 days of receipt (or within the period agreed in your contract), with your order number, photos/videos, and a description of the issue.
Acceptable quality level (AQL): Minor variations within the agreed AQL standard and normal manufacturing tolerances (e.g., slight differences in color shade or measurements within tolerance) are not considered defects.
Remedies for confirmed defects: depending on severity and quantity, we will offer one or more of: free repair, replacement of the defective units in your next production run, or a refund/credit for the value of the confirmed defective units.
3. What Is Not Returnable
Custom OEM/ODM goods produced correctly to your approved sample and specifications cannot be returned for reasons such as a change of mind, incorrect sizing you specified, or end-customer cancellation.
Errors in artwork, logos, measurements, or specifications that you provided and approved.
Damage caused by improper storage, handling, washing, or transport after delivery.
Differences arising from screen color display versus actual fabric color, within normal tolerance.
4. Minimum Order Quantity & Deposits
Minimum order quantities (MOQ) apply to all bulk orders and are confirmed per product.
Deposits are non-refundable once raw materials have been purchased or production has started, except where Rainchen fails to deliver in accordance with the agreed contract.
Orders cannot be cancelled once production has begun. If cancellation is agreed before production, any refund will be reduced by costs already incurred (e.g., fabric, trims, sampling).
5. How to Request a Return or Refund
Email rainchen@rainchenintl.com within the applicable inspection window with your order/PI number.
Include clear photos and/or video showing the issue, the quantity affected, and the relevant specification.
Our team will review and respond, usually within 3–5 business days, and may request samples of the affected goods to be returned for assessment.
Once the claim is confirmed, we will agree the remedy (repair, replacement, refund, or credit) with you in writing.
6. Return Shipping
For confirmed defects or our error, we cover the agreed return and replacement shipping costs.
For returns that are not due to our fault, the buyer is responsible for return shipping, duties, and any restocking costs.
Do not return any goods before receiving written confirmation and return instructions from us.
7. Refund Processing
Approved refunds are issued to the original payment method (typically by bank transfer/T/T) or as an agreed credit toward a future order.
Refunds are normally processed within 7–15 business days after the claim is confirmed and any required goods are returned.
Bank handling fees and any non-recoverable transaction charges may be deducted from the refunded amount.
